Introduction to Training Requests

HRplus provides several ways to create training requests to meet the specific needs of employees and the organization. These requests are designed to ensure employees receive the necessary training to fill competency gaps, align with their new roles, or improve performance.

HR staff can generate training requests using gap analysis tools available in HRplus. For instance:

  • Gap Analysis by Job: HR can create training requests for all employees in a specific job who are missing required qualifications or competencies.

  • Gap Analysis by Employee: HR can focus on individual employees to identify and request training for any missing qualifications or competencies.

    When an employee is onboarded into a new position, HRplus automatically generates training requests based on the training courses linked to and required for that position. Additionally, HR staff have the flexibility to manually initiate training requests for any employee or invite employees to request training for specific courses.

    Managers also play a critical role in initiating training requests:

  • Through Manager Self-Service: Managers can request training directly via the portal.

  • Following an Employee Appraisal: Managers can recommend training courses based on appraisal outcomes to address performance or development needs.

How to Create a Training Request by Job Gap Analysis




Training Request by Job Gap Analysis

A Job Gap Analysis maps an employee’s current Competency Level against the Competency Level defined by the company that is deemed optimum for the efficient and effective execution of tasks to meet assigned Goals.

A Gap Analysis can be done By Employee or By Job.

Once a Gap is identified, Training Requests can be generated. Managers or HR can initiate these requests.


Step 1: Get Employees Missing Selected Competencies / Certificates / Qualifications



Using the drop-boxes, select the Company, Department and Job for which you want to do the Gap Analysis.

Next, highlight the Competency in question (note that this Analysis can also be done using Certificates or Qualifications)

Finally, click the ‘Get Employees Missing Selected Competencies/Certificates/Qualifications…’

button.




Step 2: View Job Gap Results



Step 3: Select Employees and Send Training Request



Upon placing a check-mark in the ‘Inform’ box, the ‘Send to Manager’ button will activate. By clicking on this button, a Training Request will be sent to the Employee’s Manager for approval.

Note: This DOES NOT mean that the employees are enrolled on the training.




Once it was successfully sent the screen will say Awaiting Approval



Step 4: Manager Views the Training Request Notification



The Manager will get a notification via email as well as the notification tab



Step 5: Manager Approves the Training Request




Step 6: HR Views the Approved Training Request Notification

How to Create a Training Request via the Performance Appraisal




Training Requests by Appraisal

HR/Managers can submit Training Requests for employees after completing their performance appraisal.



The Appraisal must be Completed and saved for the Training Request hyperlink to appear.

Step 1: The Manager Views the Completed Appraisal and Submits a Training Request




Step 2: The Manager Performs a Gap Analysis



A job gap analysis can be conducted, using appraisal results to identify areas where the employee needs training.






Step 4: The Manager Reviews the Training Request Notification




Step 5: The Manager Selects the Training Criteria and Approves the


Request




Step 7: HR Training Staff Views the Training Approval Notification


Step 6: HR Training Admin Chooses a Course and Enrols the Employee in Training





The Employee is Successfully Enrolled in Training






The employee and manager will receive notification of the training, and the employee can then view the training on their calendar via the self-service module.

HR can enroll individual or groups of employees for courses.

Note: By HR Requests are automatically approved for enrolled employees.


Company/Division/Department/Section: Select the company from which the employees will be

chosen.

Employee Lists/Selected Employees: Select the employees to participate in the training course.

Course: Select the employees.

How to Complete a Training Course and Submit an Evaluation




Complete Training and Submit Evaluation

Upon completion of a course HR can update training information and submit an evaluation.


Step 1: Select the Training Request to Complete



Step 2: Review and Update the Course Details



Step 3: Submit the Course Evaluation




Course Evaluation: Select a rating for the course.

Lecturer Evaluation: Select a rating to give to the lecturer.

Score: Enter a suitable value to score the course/lecturer performance. Completed: Select 'yes' if the course is completed otherwise select 'no'. Comments: Enter user comments relevant to the course.

Step 1: HR Selects the Course to Send Out Invitations



Company: Select the company.

Who Can Attend: Select the positions that are required to attend the training.

Attribute: Select Certificate, Competency or Qualification.

Note: The request can be updated and resent.
