Event Reminders Overview



Personnel>>Event Reminders

This module allows HR to set up reminders for upcoming HR Events (birthdays, employee anniversaries, going on leave, returning from leave, contract end, status change etc.). birthdays.

Based on the dates of these HR Events, the Scheduler in HRplus, when doing its midnight runs, ‘looks for’ events that match the defined criteria, and generates messages via the specified employees’ Inbox (Home>>My Message Inbox >> My Message Inbox), alerting them of the upcoming HR Event.

On logon, the employee will view these reminders and act on them according to company policy.



Before using this module, please identify/ensure:

1. The Event Types that are relevant to your company.

2. The Positions, HR Personnel and any other employee/s to which Reminders should be sent.

3. That Supervisors (managers) are set up for employees. ( Reporting relationships must be configured)

Setup HR Users

  1. For any specific company, create a group by selecting any number of HR positions to which you wish to send reminders.

  2. For each user, identify the Company to which that user can view events, which may or may not be the users own company.

  1. For each company, select an Event Type, define the Notification Lead Time for reminders and identify whether Manager, Employee, HR Users or user defined positions should receive these reminders.

  2. Multiple reminders can also be set up for the same event.

1. This View-Only option allows you to view all events that were previously generated by the Scheduler.

How is the Event Manager used?

Event Manager

The Event Manager manages the setup of Reminders, to user-defined employees, for Events in HRplus.

Reminders are generated by HR Transactions (Acting, Salary Changes, Status Changes) or Leave Taking/ Return or Probation End Dates or Company Annual Review or Birthdays or Company Anniversaries etc.

Reminder messages are generated and displayed based on the number of days specified in advance of the event (lead time) e.g. reminders for birthdays may be generated 5 days in advance.

The HRplus Scheduler, in doing its processing run at midnight, retrieves the records that meet the specified criteria, and generates the Reminders to the specified employees.

The data is extracted from the various areas of HRplus e.g. Going on Leave data will come from the Leave module, Employee Anniversary data will be extracted from the Personnel module etc.

Reminders are NOT generated for events that are not set up.

At present, the following Event Types are fully functional:

Step 1: View Event Types




Event Types

There are twenty-eight (28) default event types for which reminders can be set.

You are not allowed to insert/edit/delete Event Types and/or Event Reminder Messages.

The remaining Event Types are currently in development for a future release.

Step 2: Set up HR users




Select the employees to which Reminders will be sent. These employees constitute a group of HR Users based on Company, to which the system will send reminders once the Send to HR box is checked in Event Settings. Event Settings




HR Position User: for the selected Company, use the magnifying glass to select the employees to whom Event Reminders should be sent. The lookup (screenshot shown below) will display the employees by Position No and Company, click the Select link to select a record. Indicate each Company for which the user has access to view events this can be the employee’s Company or any other company. Save.

There is no need to enter Managers in this group as Reminders are automatically sent to them once

they are designated as Supervisors via Personnel>>All Positions (Filled and Vacant)).

Step 3: Set up General Event Settings




Event Settings

For each event, set up the criteria that determines when and to whom Reminders should be sent.

For each company, select an Event Type, define the Notification Lead Time for reminders and identify whether Manager, Employee, HR Users or user defined positions should receive these reminders.

Send to Manager: check this box if the employee’s Manager should be notified.

Send to Employee: check this box if the Employee should be notified.

Send to HR: check this box if the users specified in HR Users should be notified. Step 2: Set up HR Users

Send to Set Positions: check this box if specific positions should be notified. Expand the Event record to identify these positions:


ALL of the boxes may be checked - the system will send Reminders to all employees so defined.

  • If none of boxes are checked then Reminders will NOT be sent.

  • If the Event Type is not set up, then Reminders will NOT be sent.

  • Reminders are generated when the Scheduler, which runs at midnight every night, checks for Event Types that have been set up and that meet the Date and Lead Time criteria. Once found, the Scheduler generates the Reminders to the specified employees.

Send to set Positions




More than one reminder can be set up for the same event. For example, a reminder may be sent to an employee’s Manager, 10 days, 5 days and 3 days in advance, informing him/her that the employee is proceeding on leave. The system will generate and display the reminders at the appropriate times

to the appropriate persons.

• Reminders will be duplicated if an employee is entered more than once as messages indicate to whom they are directed i.e. HR, Employee, Manager, Position No.

  • SAVE your input. The HRplus Scheduler, on its midnight run, will ‘look for’ event types that meet the specified criteria, and will generate the Reminders.

Use this option to add/edit Reminders for a specific Position.

Use this option to set up Reminders for specific employees.

  • Select the Employee and Event Type and enter the Notification Lead Time for that specific employee this will only apply to this employee. This is an optional step and is included if you wish to make edits to or add specific employees.

Events In Progress

This option allows you to view only the Events that have been generated by the Scheduler. The events listed here are generated from AFTER the date that the event reminder was setup on HRplus for that particular event.

View Employee Events that are due or overdue. Once the date for an Employee Event has passed , the next scheduled date that the event is to occur (Event Date) is generated in this view.


View-Only Events in Progress




Master Email Settings

This option allows you (logged on user) to send email to your external email account alerting you to the occurrence of the event type. Once turned on, the system will send an email to the external email account, once valid, specified in your employee profile via Personnel>>Employees>>Contact Info.
