How to create Batch Users (New Version)

Create users/employees in batches. This is useful if you wish to create users for a whole department or for a group of employees for first time logon to HRplus. 


STEP 1


Batch User Password

The Batch user password can either be random or static.


If Random Password option 'YES' is selected, the system will auto-generate a password for the employee which will be sent via email.

Select the language you require the password to be in.





If Random Password option 'NO' is selected, the user is required to enter a static password. This password will remain the same until it is changed for the specific account.




Batch User ID

The Batch user ID can be a maximum of 20 characters and is generated by using one of the following options:

  1.  Using the email as the user ID.
     

  1. Deriving the user ID's using one of the following options. 
    1. Last Name
    2. First Name
    3. First and Last Name
    4. Last and First Name

  1. If one of the user IDs which is generated is the duplicated, you can select one Action for same User Ids:
    1. Make Unique
    2. Do not create


Step 2


Application Permissions for the Batch user is for the Self Serve Options as shown below.

Select the applicable permissions and move to the next step.





Step 3


Select the combination of Department and Employee's for whom the batch user permissions should be generated.

Submit the record to create the batch users who will be sent an email with their login instructions.





Step 4


Grant the users additional access as shown below.

  1. User Access.
  2. Additional Access such as:
    1. Pay Group Access - Pay group access should be given depending on the users access requirements.
    2. Company Access - Select the combination of company, division and department access for the user.
    3. Restrict Position Access - If the user should not have access to view certain employee position details, then you can set this restricted access here.
    4. Restrict User Reports - If the user should not have access to vertsin reports, you can select the restricted reports here to limit user access.
    5. Edit User Group - If errors were made when granting the employee application permission and the person has access to the wrong module or requires additional access, this can be edited here.
    6. User Database Permissions - This is required to allow the employees to access the data within the module. Without this access, the employee will see the module listed on the menu bar but will see an error message when they try to view it. This completes the setup of a new user. Once all the steps have been followed, you can ask the user to login and verify they can access the required modules.
