Overview of the HRplus Time Geofencing Feature

The geofencing feature in HRplus enhances attendance management by using location-based tracking to monitor employee presence. This feature creates virtual boundaries, or "geofences," around specific workplace locations, such as office buildings or designated job sites. Employees can only clock in or out when they are within the set geofenced area, ensuring accurate attendance records and reducing the potential for time fraud.

Geofencing is especially useful for companies with remote or field employees, as it enables real-time location verification without invasive tracking. HRplus users can set up and customize geofenced zones easily, with options to tailor access times and locations based on specific team requirements. This feature supports the accountability and reliability of time and attendance data, which integrates seamlessly with payroll and compliance reporting within HRplus.

Glossary of Geofencing Terms

B

Boundary: The perimeter marking the edge of a geofence; crossing it triggers predefined actions like notifications or time tracking.

C

Check-In/Check-Out: Actions recorded when an employee enters or exits a geofence, confirming their presence at the designated site.

Compliance Reporting: Reports derived from geofencing data, confirming employee location for payroll accuracy and regulatory needs.

D

Data Privacy: Management of personal data collected via geofencing, often restricted to working hours and designated zones.

Device Authentication: See Authentication (Device).

E

Employee PIN: A unique personal identification number assigned to each employee in HRplus, used to securely verify identity when clocking in or out through the Kiosk app. This adds an extra layer of security, ensuring that only authorized employees can access the system from approved devices.

G

Geo-Location: The precise physical location of a device determined by GPS, enabling accurate boundary tracking in geofencing.

Geofence: A virtual perimeter or boundary set around a specific location.

GPS (Global Positioning System): Satellite-based navigation that helps determine a device’s location within a geofence boundary.

K

Kiosk: The HRplus Kiosk app allows employees to clock in and out on an approved device or mobile phone. This app ensures that attendance is recorded only from authorized devices within a geofenced area, providing a secure and controlled check-in method for workplace or remote environments.

L

Location Services: Device setting that uses GPS, Wi-Fi, and cellular data to determine a device’s physical location; essential for geofencing accuracy.

Location Verification: Confirmation of an employee’s presence within a geofenced area to validate attendance.

R

Radius: The distance from the center of a geofence to its edge, defining the geofence’s size.

Real-Time Tracking: Monitoring of a device’s location as it enters or leaves geofenced zones, supporting immediate attendance records (Not available on HRplus).

Z

Zone: Another term for a geofenced area, typically set around locations where employee presence is tracked for time management purposes.
